Using AI in responding to tenders
Responding to a tender requires you to answer a number of questions to demonstrate capability and credibility. For the purpose of this blog we decided to ask AI some questions about AI to demonstrate how it can be used.
Initially, we asked AI to produce an overview of what it is and its benefits. The response below demonstrates how effective AI can be in producing useful content.

In the context of writing tenders and tender responses, it’s helpful to note that what it produces on a particular question or topic is somewhat of a 60% solution – sometimes more, sometimes less. It’s a great starting point. Then, you can strengthen to include what you need and add your details.
For example, if you are responding to a tender, AI can give you some very useful content and structure. What it can’t do, a least not as well as you, is add the evidence that proves the unique value of you and your company to the buyer – what makes you the best choice for the contract? It also doesn’t know the buyer as much as you might know them or their needs, so it can’t speak to specified requirements or problems that should be taken care of through your tender offering.
Also important is how you ask the question. AI answers what you ask. The more specific you can be, the more exact its response will be. For example, you could ask it to provide information on crowd management techniques for sporting events and it will give you a solid response to your question. If you ask it to provide information on crowd management for the Wimbledon Championships at the All England Lawn Tennis and Croquet Club in Wimbledon, London, you will get a response much more specific to that location and the annual Grand Slam event. The better you ask the question, the better it will respond.
So AI can be a tremendously beneficial tool in helping you get your written material started. Just remember to be specific, and you can refine what you ask or request that it tweaks its response (e.g. you can ask it to rewrite the response using more or less formal language). Then, use your own knowledge and experience to include the necessary details and evidence to make your writing accurate and fully responsive to the buyer’s needs.
Using AI to reduce work count within tenders
In addition to helping yuou start your tender response, AI can help you with the way a tender response is written or structured to optimise space and use your content effectively.
Many Invitations to Tender (ITTs) have word or character limits for the response to each question, where anything above the count will not be considered by the Buyer. The response below is an example of managing content without impacting the quality of the response. This response is the first response you have seen above however, it has now had the word count reduced and the sections made clearer.
The content and meaning are the same, just with fewer words. To get under a word or character limit in a tender, it is certainly better to be more concise than to delete valuable content.

AI has it's part to play, it can be a highly effective tool when used carefully. It will however, not 'do it all for you'. It's important that you personalise the responses you provide when responding in your tender. You need to be specific to what you can do, provide evidence and also understand you have understood the buyer's needs.
